Eligible Costs and Reimbursement
Priority/Objective 1 Eligible Costs
Reimbursement is calculated based on actual and justified costs reported in the indicative cost breakdown:
- Travel costs
- Accommodation costs
- Registration or participation fees for extracurricular activities
The Selection Committee may cap specific cost items if considered excessive or not in line with typical market prices for the location and period. Reimbursement covers up to 50% of total eligible costs within the €5,000 maximum. Eligible expenses are those realised after the date of submission of the application.
Priority/Objective 2 Eligible Costs
Reimbursement is calculated based on the stipend or salary received by the beneficiary as documented in the internship contract or equivalent agreement, within the €5,000 maximum. Travel and accommodation costs or other types of cost are also eligible provided they are explicitly mentioned in the internship contract or equivalent agreement. Eligible expenses are those realised after the date of submission of the application.
Evaluation and Selection Process
Evaluation Stages
Each application undergoes evaluation in the following sequence:admissibility check, eligibility check, and merit scoring. Only eligible applications will be scored. Admissibility and eligibility checks precede scoring to ensure only qualified applications are assessed on merit.
Admissibility Conditions
An application is admissible if it has been received on or before the latest cut-off date, is completed in all its parts, includes all required attachments, and is submitted exclusively through the GoodGrantsTM platform.
Scoring Criteria
Eligible applications are scored on a maximum of 100 points using the following criteria 1:

No minimum thresholds or weighting will be applied to individual criteria.
Tie-Breaking Rules
In case of equal scores, the following priority rules are applied in order:
- 1Applicants documenting enrollment in both the MagiX programme and at least one extracurricular activity of the AI4Gov-X programme (only for Priority/Objective 1)
- 2Applicants coming from countries that are not full members of the AI4Gov-X consortium
- 3Applicants from regions with average income below 75% of the EU average
- 4Female applicants
Award and Ranking
Eligible proposals are ranked by total score within available budget. The final award decision is endorsed by POLI.design. All applicants will receive written justification for the decision, with terms to appeal.
Post-Award Obligations
Selected beneficiaries must sign a Financial Support Agreement specifying the supported activity, eligible costs, maximum amount, payment schedule, and reporting obligations. Failure to sign within the indicated timeframe may result in loss of the grant by autonomous decision of POLI.design.
Payments are normally made by POLI.design after participation in the activity and approval of the beneficiary report and cost statement. The Financial Support Agreement may include provisions for small prefinancing in justified cases. Details are provided in the individual Financial Support Agreement.
Important Procedural Principles
The evaluation and award procedure follows the principles of transparency, equal treatment, confidentiality, and absence of conflict of interest. POLI.design is responsible for preparation and drafting of the call, selection of successful applicants, and provision of financial support. This call is not an EU action but is launched solely by POLI.design on behalf of the AI4Gov-X consortium. Publication in the EU Funding & Tenders Portal is for information purposes only and does not constitute approval by EU authorities.
Key Restrictions and Conditions
An individual may apply to both objectives if they meet the requirements for each, but within the same cut-off date or within two distinct cut-off dates. However, a person can receive financial benefits from only one objective/priority. Applicants cannot receive double funding for the same operation and cannot be awarded twice under the same priority objective. All applicants must declare they are not subject to restrictive measures or disqualifying conditions under EU or national legislation.
